How to Be an Exquisite Virtual Assistant

written by Ana Mehmood, Co-founder of Exquisite Virtual Assistance_edited.jpg

Over the years, I’ve had the privilege of working in a wide variety of environments, including fast-paced hospitality settings, dynamic entertainment companies, budget-constrained community nonprofits, intense consulting firms, and the ever-evolving world of higher education. I’ve supported all kinds of executives, each with their own leadership style, communication preferences, and expectations.

Through these diverse experiences, I’ve learned what works (and what doesn’t) when it comes to being a truly effective assistant. The 10 tips I’m sharing with you are distilled from real-world best practices across all these industries, and more. They’re practical, actionable, and designed to help you thrive no matter who you're supporting.

At the end of the day, the most important ingredient in any successful VA relationship is understanding the person you’re assisting. Get to know their quirks, qualms, and preferences. Learn how they think, what they value, and what stresses them out. The better you understand them, the better you’ll be at anticipating their needs, and the more indispensable you’ll become.

The 10 practical tips below will guide you toward becoming an exceptional, or shall I say, Exquisite VA. From communication to time management, each tip is crafted to help you stand out and succeed in the growing virtual workspace.

10 Tips to Exquisitely Level Up your Admin Game

1. Prioritize Clarity Before Starting Any New Task

Sometimes a client will throw rushed or incomplete instructions at you without even realizing it. Always ask questions if anything is unclear. If there is a specific technical issue, share screenshots or a micro Loom video to support your question. Did you try to do a quick search of the answer by other means? It's better to clarify expectations up front than to redo incorrect work later.

Final word: I remember the disappointment I felt when I hired a graphic designer for a creative project, and she submitted the deliverables at 11pm on the due date she proposed. Not only were the designs full of errors, but I could tell that they had been rushed, and the timesheets she sent proved she had done the majority of the work within hours of the deadline. She was additionally dishonest about being 'almost done' with the designs earlier in the week when I checked in and requested a progress report, as according to her voluntary timesheets, she hadn't event started. It was clear that my project was not a priority for her, and/or that she was not able to manage her time effectively during the weeks she had to submit it.

I would have preferred that she communicated about needing more time, than to submit what she did. I requested a partial refund and never worked with her again, then had to find another designer under pressure. Had she followed any of the tips above, we could have had a better partnership and I would have continued to hire her for other projects.

In summary... D.O.C!
Dedication + Organization + Communication  = Success as an Exquisite VA (or any admin profession)
Every tip above is related to at least one of the DOC values, and will help you thrive as a virtual (or in-person!) administrative professional.
